Office Manager – CEO’s Office
ADSS is a successful retail and institutional brokerage based in Abu Dhabi. The company is currently undergoing a multi-year transformation to become a fast growing, purpose-led, data-driven enterprise that delivers market-leading personalized content, propositions, and experiences to traders. KEY RESPONSIBILITIES
- Provide comprehensive administrative support to the CEO, including calendar management, meeting coordination, and travel arrangements. ▪
- Organise and prepare agendas, materials, and documentation for meetings, ensuring the CEO is well-prepared for all engagements.
- Maintain effective communication with internal and external stakeholders on behalf of the CEO, representing the company in a professional manner.
- Manage the office environment, ensuring it is organised, professional, and conducive to productivity, including overseeing supplies and equipment maintenance.
- Develop and implement office policies and procedures to improve operational efficiency and support the CEO’s objectives.
- Assist in the preparation of reports, presentations, and correspondence, ensuring accuracy and attention to detail.
- Handle confidential and sensitive information with discretion and integrity. ▪ Act as a liaison between the CEO and other departments, fostering collaboration and ensuring alignment on priorities.
- Support the CEO in special projects and initiatives, conducting research and analysis as required.
- Provide exceptional customer service to visitors and clients, ensuring a welcoming and professional atmosphere in the office.
- Assess and mitigate risks associated with the role, managing and escalating issues to senior management as needed.
ABOUT YOU
- 3 – 5 years of experience in an executive support role or office management position, preferably in a corporate environment.
- English required; Arabic language would be advantageous.
- Bachelor’s degree in Business Administration, Management, or a related field.
- Proven experience in project management and strategic planning.
- Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Excellent verbal and written communication skills, with a strong command of business language.
- Exceptional organisational skills and attention to detail, with the ability to prioritise tasks effectively.
- Strong interpersonal skills, with the ability to build relationships and communicate effectively with senior management and stakeholders.
- Ability to work independently and collaboratively as part of a team, demonstrating initiative and professionalism.
- Strong problem-solving skills and the ability to adapt to changing priorities in a fast-paced environment.
