Position Overview
The Receptionist is the first point of contact for NCH and plays a key role in shaping the organisation’s professional image, service quality, and daily operational flow. In addition to managing front desk operations, the role supports company-wide activities, marketing-led events, and provides administrative assistance to the leadership team when required.
The role acts as a secondary support to the Executive Assistant, ensuring continuity of executive and office operations during absences or peak periods. This position requires professionalism, discretion, adaptability, and a strong service mindset, with the ability to balance front office responsibilities with coordination, event support, and executive assistance in a fast-paced corporate environment.
Responsibilities / Key Responsibilities
Front Desk & Visitor Management
• Welcome visitors, clients, and partners professionally and courteously, ensuring a positive first impression of NCH
• Manage visitor registration, access protocols, and meeting room coordination in line with company procedures
• Act as the first point of contact for walk-ins and general enquiries, directing them accurately and efficiently
Communication & Call Handling
• Answer, screen, and route incoming calls in a timely and professional manner
• Manage the main reception email inbox and ensure accurate distribution of correspondence
• Support smooth internal communication flow by directing queries to the appropriate teams
Marketing & Company Events Support
• Support the Marketing team in the coordination and execution of company-related events, internal activations, and external engagements
• Act as the coordination focal point for event logistics including venues, materials, attendance tracking, and supplier communication
• Support preparation of event materials, schedules, and administrative follow-up while Marketing retains ownership of content and strategy
Executive & Leadership Support
• Provide administrative and coordination support to the leadership team when required
• Assist with calendar coordination, meeting logistics, document preparation, and follow-ups
• Act as secondary support to the Executive Assistant during absences, covering defined administrative and coordination tasks to ensure continuity
• Route executive communications appropriately while maintaining confidentiality and professional judgment
Office Coordination & Administrative Support
• Support day-to-day office operations including courier management, document handling, and basic reporting
• Coordinate with facilities, IT, security, and housekeeping to maintain a professional and functional office environment
• Monitor front office and shared supplies and raise replenishment requests as needed
Service Quality, Compliance & Professional Conduct
• Maintain high standards of service quality for visitors, employees, and stakeholders
• Proactively identify opportunities to improve front office experience and operational efficiency
• Handle sensitive information with discretion and confidentiality at all times
• Adhere to company policies, security guidelines, and professional conduct standards
• Represent NCH Culture DNA through empathy, reliability, integrity, collaboration, and practicality
Qualifications & Skills
Education & Experience
• Diploma or Bachelor’s degree is preferred
• 2 to 4 years of experience in a receptionist, front office, administrative, or executive support role
• Experience supporting leadership teams, marketing activities, or corporate events is a strong advantage
• Exposure to a corporate, healthcare, FMCG, or professional services environment is preferred
Technical & Functional Skills
• Proficiency in Google Workplace (Docs, Sheets, Slides, etc.)
• Ability to manage calendars, meetings, correspondence, and basic documentation
• Familiarity with event coordination, vendor communication, and office administration processes
Soft Skills & Competencies
• Strong interpersonal and communication skills with a service-oriented mindset
• High level of discretion, trustworthiness, and professionalism
• Ability to prioritise, multitask, and adapt in a dynamic environment
• Proactive, dependable, and comfortable supporting senior stakeholders
