🔹 We’re hiring! Senior Admin Assistant (Medical Services) – Dubai 🔹

The Gemelli Smart Clinic, part of the Policlinico Gemelli network, is looking for a Senior Admin Assistant to join our team in Dubai.

Your Role:

As Senior Admin Assistant, you will provide high-level administrative and clerical support to ensure the smooth operation of our clinic, supporting doctors and healthcare professionals, and guaranteeing efficient processes for patients and staff.

📌 Keys Responsibilities:

Manage, update and process medical documentation in coordination with doctors.

Organize medical boards, meetings, and administrative activities.

Support front-office and reception operations, ensuring excellent patient service.

Monitor and improve internal workflows, ensuring efficiency and compliance.

Handle roster scheduling and resource allocation.

Manage all billing, invoicing, payments, expenses and financial reporting, ensuring accuracy and transparency.

Liaise with health insurance providers for claims processing, approvals, and reconciliations.

Track and maintain financial records to support budgeting and clinic reporting.

Ensure clear communication and coordination across all departments to support the organization of the clinic’s operations.

📌Mandatory Requirements:

Solid experience in administration within medical/clinical settings.

Strong knowledge of DataFlow procedures.

Proven experience in managing DHA licensing applications for doctors and healthcare professionals.

Ability to work with health insurance providers (claims, billing, approvals).

Strong skills in billing, invoicing, expense tracking, and financial reporting.

Excellent communication and organizational skills, with the ability to support clinic-wide coordination.

Proficiency in spoken and written English.

Computer literacy (Word, Excel, PowerPoint).

Proficient in operating a business telephone system.

Experience in a Medical or Dental environment is an advantage.

Experience in customer interaction is an advantage.

Familiarity with healthcare management systems (EMR/EHR or similar).

Knowledge of UAE local regulations and holding a valid DHA license / registration is essential.
